The signals travel through the IP network but do not “go through” the switch as they do in traditional telephony. Voice over IP vs. TDM (digital telephones)

TDM(time division multiplexing) is the term used to describe most modern digital telephone systems. These phones work on the idea that you have a dedicated wire from the telephone jack directly to the telephone system’s key service unit (KSU). This method is very reliable and has been the standard for years. With the emergence of VoIP technology these standards are being challenged. I will attempt to explain the differences and list a few pros and cons.

When using a pure VoIP telephone system, your handsets are no longer directly wired to your phone system. These phones are connected to your data network and use the same cable, jacks and switches that your PC’s are using. The voice conversations are being compressed and converted to data packets and being broadcast across your networking in a similar way that all data on your network is being transmitted. The telephone system is connected to the same network switches that your PC’s and now VoIP phones are using. A few advantages to this would be only needing one type of cable in your office, the extension number of your phone stays with your phone no matter where you move it, and in most cases that same phone could be moved to a remote location, such as your home, and used that same way it would be used as if it were in the office.

VoIP Telephone System

A few disadvantages to this would be if your data network were to go down for some reason, maybe a switch goes out, you would not only loose your PC’s network but your phones would no longer work either. Think of it as putting all your eggs in one basket. Voice quality is also something to consider, although the technology is getting better, the quality of a TDM phone call is better. VoIP phone on average are more costly also.

TDM phone systems operate by having a dedicated pair, or pairs of wire that go from the jack directly to the phone system. The phone system will normally have different cards in it to support different functions. You will typically have station cards to support your handsets and trunk cards to support your connections to the telephone company. Advantages to this include separating your voice from your data so if you were to loose one you would still have the other. The TDM handsets will typical provide you with easier functionality for preforming tasks such as transferring calls and placing callers on hold, setting up conference calls etc. Sound quality is better on these types of phones also.

TDM Telephone System

Typically TDM phone systems are less costly. A few negatives would be needing a dedicated cable for each phone, if you move your phone (in most cases) your extension number doesn’t follow you unless you make a change in the programming or physically move the jumper to the new jack. They cannot be used as a remote phone.

The Importance Of Referrals

Finding new customers is one of the most important and difficult tasks undertaken by any business manager. Advertising and prospecting are two common methods that most companies employ to find new customers. Referrals are also a very important way for growing companies to obtain new customers. Associate referrals, bird-dog referrals and referrals from existing customers are three ways Emergent utilizes referrals for finding new customers.

Emergent is a Value Added Reseller (VAR) that specializes in communication technology solutions that provide customers with a competitive advantage in their market or helps them add more profit to the bottom line. Since 1988, Emergent has been providing Orlando and Central Florida clients with telephone systems, structured wiring, managed IT services and more. Emergent has strived to judiciously select an exceptional staff and a portfolio of suppliers like no other in the Orlando, Florida area. Emergent sets the benchmark that others follow.

Associate referrals at Emergent come from businesses involved with Emergent in various Orlando civic organizations, industry associations, clubs and Chambers of Commerce. When a sale is made from this type of referral the bird-dog gets a monetary finders-fee (2%) from the sales person who made the sale. The rewards are then two-fold. The members have nine professional sales people looking for leads, and when they give a lead that converts they get a treat.

Although associate referrals and bird-dog referrals are important, customer referrals are the most effective at winning new customers. Nothing speaks louder than actions over a period of time. When you take care of customers by consistently meeting their needs and always surpassing their expectations, they can’t help but tell their constituents about you. A good testimonial from a long time customer is as good as money in the bank when seeking new business from a lead that came from that happy customer.

In conclusion, the three types of referrals are Associate referrals, bird-dog referrals and referrals from existing customers. These methods for obtaining new customers can be far more effective than advertising or cold calling. Using the referral process properly can also be a lot less expensive than other methods of building a customer base. Finding less expensive ways to run a business is also very important but we’ll save that for another day.

Getting Around In Programming

The first thing you should do when you enter programming mode is locate your cursor. Look on the top line, first character and you should see a small underscore, this is your cursor. To move the cursor around you use the left and right soft keys (the three keys directly underneath your display). To scroll through the different programming items you use the volume up and the volume down. When you find the programming code you want (called an MMC – Machine Man Code) press the Speaker Key to access that item.

To Recap:

  • Left and Right soft key – moves the cursor around
  • Volume up and down – moves you through the different options for the field where your cursor is located.
  • speaker – enter / exit a programming item
  • transfer -exit programming mode

If you are ever unsure about what you are doing or where you are in programming lift and replace the handset, this will take you out of programming mode without saving any changes.

Samsung Button Mapping Codes

These are the button codes used when programming the buttons on a Samsung OfficeServ 7100, 7200, 7400, iDCS 100 or iDCS 500 phone system. Some of the buttons will require an extender after the code (signified by the X) , for example when programming a station button (DS) you will need to add the extension number (201, 202, etc.) after the DS. If you are not familiar with moving around in programming mode you can read this article.

Codes:

  • DS XXX- Direct Station XXX (hotline button to an extension, XXX should be an extension number)
  • DT XXX- Direct Trunk XXX (line appearance button, XXX should be a line number 701, 702, etc)
  • MW XXX – Message Waiting XXX (Shows when a message is left in another extension mailbox)
  • LOG – Call Log button (useful for reviewing caller ID information)
  • SPD XX or XXX -Speed dial button (XX would be your personal speed dial bi, XXX would be a system wide speed dial bin)

NEC Aspire Headset Use

The headset should be plugged into the Headset jack on the NEC Aspirephone.  You will need a headset function button on the phone as well (If you don’t know how to program a headset button contact your phone system administrator). 

  • To place a call press the headset button and then a line button (or dial 9) then dial your number
  • To place an intercom call press the headset button and then press the hotline key (or dial the extension).
  • To transfer a call while using the headset press the hotline button for the extension you want to transfer the call to then press the headset button.  If you don’t have a hotline button you can press the HOLD button and then dial the extension number for that person followed by the headset button.
  • To release a call while on the headset press the headset button on your aspirephone.
